How to Set Up a Discord Ban Appeal System

Every large server makes moderation mistakes. A clear appeal process protects your community's reputation and gives members fair recourse.

Why You Need an Appeal System

  • Wrongful bans happen โ€” appeal systems correct them
  • Shows members your moderation is fair and accountable
  • Reduces resentment from moderation decisions
  • Gives your team a documented process to follow

Option 1: Google Form Appeals

The simplest approach:

  1. Create a Google Form with these fields:
- Discord username + ID - When were you banned? - Reason given for ban (if known) - Your explanation of events - Why should we unban you? - Have you read and agreed to the rules?
  1. Link the form in your server's rules or announcement channel
  2. Set up email notifications when a form is submitted
  3. Review weekly and respond via DM

Option 2: Appeals Discord Server

For larger servers:

  1. Create a separate Discord server for appeals
  2. Add a bot that creates a private ticket for each appeal
  3. Assign a senior mod team to review tickets
  4. Decisions are documented in a closed channel

The Review Process

  1. Acknowledge receipt โ€” Let the appellant know within 48 hours
  2. Gather evidence โ€” Check mod logs, message history, audit log
  3. Team review โ€” At least 2 mods review each appeal
  4. Decision โ€” Uphold, reduce, or overturn the ban
  5. Communicate โ€” Inform the appellant of the decision and reasoning

Decision Guidelines

  • Minor rule violations with genuine remorse โ†’ Reduce ban duration or overturn
  • Severe violations (doxxing, NSFW, harassment) โ†’ Uphold
  • Evidence of rule misunderstanding โ†’ Overturn with clear warning
  • Repeat offender โ†’ Uphold

Include your appeal link in your Discords.ai listing to show prospective members that your server is fairly run.
